We are seeking an Executive Assistant (EA) to support our CEO who also has interest in taking on some marketing coordination for the firm.

Executive Assistant (EA) / Marketing Coordinator – Your Job Duties

• Accountability partner to CEO– preparing daily priority list, time management, keep the (nice) manic on task
• Keep CEO and team on task with projects, and track the business details
• Take notes / type meeting notes from client and prospect interactions for advisor team
• Coordinate with team follow up tasks resulting from client meetings or phone calls
• Schedule client meetings for advisor team, draft written client correspondence for CEO
• Answer phones, receiving and opening daily mail, getting the mail to the correct person
• Navigate, enter data, and run reports in CRM (Redtail)
• Work with third-party marketing firm to post social media content on Facebook & LinkedIn (video, photos, articles, etc.) to help promote the Firm
• Assist with routine compliance tasks (submitting client correspondence, meeting forms, monthly reports)
• Occasional event planning: client appreciation events and webinars. Researching venues, working with vendors, preparing, and managing invitations and guest lists
• Coordinate between our external marketing firm and our team; carry out any tasks that come from those meetings
• Find opportunities to promote the firm within the community through press releases, blog posts, advertisements, etc
• Assist management team in carrying out marketing efforts

A successful Executive Assistant & Marketing Coordinator in this role is emotionally intelligent (meaning, you read the needs of the team and respond accordingly), has a strong attention to detail and can quickly adapt when priorities need to shift.

EA/Marketing Coordinator Qualifications – The Must-Haves (Required)

• Team player. Sometimes we’ll need your help with something outside of your job description.
• You don’t need to have the vision for the future, but you need to love helping to make it reality as a team
• Desire for continued learning and development
• Resourceful when learning new things or solving problems (you try to figure it out before you ask)
• Proficient in MS Office programs (i.e. Excel, Word, PowerPoint, and Outlook)
• Comfortable working with computers, software, and other technology

EA/ Marketing Coordinator Qualifications – The Like-to-Haves (Desired, not Required)

• Prior experience in an Executive Assistant, Administrative Assistant or office support role
• Prior experience in wealth management, financial services, or other professional services industry
• Prior experience in marketing or communications

Compensation and Other Perks
This role is exempt, salaried. Compensation is target plus profit share options.

Salary: $65,000- $85,000
